Our New Production Board

Here it is, the Keane Production Board version 0.5. 

For those of you who've been to our office you've probably seen the huge "do-it-yourself" poetry canvases we have. For this next evolution we decided to cannibalize one of the pieces seeing it was already a large space hanging on the wall. 

With the first attempt, version 0.25, we simply used white duck tape to mark off the areas (7-8 second mark in the video) but the acrylic paint was Post-It resistant and they kept falling off. We found that they stuck great to the white tape and with that discovery in mind, we went to town covering the entire surface. An added plus of the duck tape is that it's dry erase friendly.

The board now has three main areas, a "Backburner" area to capture ideas on the left, a "This Week" area where each Keane member has a row to sort out their tasks for the week (loosely organized by client) and a "Completed" area on the far right for everything accomplished that week. 

The proposed flow we're considering is:

  • Tasks are captured individually on Post-Its and placed in the left Backburner area somewhat aligned by the name of who's responsible. 
  • Every Monday each person places tasks their going to accomplish in the main "This Week" area. Larger client's tasks can be aligned in columns.
  • As tasks are accomplished their moved off to the right side into the "Completed" area (for bragging rights).

We picked up some colored tabs for additional visual messaging: 

  • Pink Tabs on a task are elevated to a "You need to get this finished today or ELSE" level.
  • Blue Tabs on a task are tasks that someone else creates that they need you to complete so they can move forward on a project (Example: Write copy, gather logo assets from client).
  • Green Tabs on a task are added to completed tasks and moved into other people's area when ready for review.

And the black strips are actually magnetic for added yet-to-be-determined functionality.

Supplies used: 

  • Stretched canvas art board
  • Three rolls of white duck tape
  • Four rolls of magnetic tape
  • OfficeMax Self-Stick Pop-ups (AKA Post-Its)
  • Post-It Tabs
  • White Erase marker

At the moment we're all busy generating tasks but we anticipate the whole production system to kick off next week and will report back here on how it goes!

Great idea and execution! I really like the organization of relevant data in a tangible, hands-on format.
